2. What information we collect

Information you provide to us:

• Name and email address when you create an account
• Property addresses and details you add to your account
• Tenant names, email addresses, and contact details
• Payment information (processed securely by Stripe — we do not store card details)
• Documents and files you upload
• Messages sent through the platform

Information collected automatically:

• Log data including your IP address, browser type, and pages visited
• Cookies and similar tracking technologies to keep you logged in and improve the service

3. How we use your information

We use the information we collect to:

• Provide, operate, and maintain the Vestry platform
• Process rent payments and subscription billing
• Send transactional emails (rent reminders, maintenance updates, invite links)
• Respond to your support requests
• Improve and develop new features
• Comply with legal obligations

4. How we share your information

We do not sell your personal information. We share information only in these circumstances:

• With tenants and landlords: Information shared through the platform (e.g. landlord contact details visible to their tenants) is necessary for the service to function
• With service providers: We use Supabase (database), Clerk (authentication), Stripe (payments), and Resend (email) — all of whom process data on our behalf under strict data protection agreements
• For legal reasons: If required by law or to protect the rights and safety of our users

5. Data storage and security

Your data is stored securely on Supabase’s servers. We use industry-standard encryption for data in transit (HTTPS) and implement access controls to protect your information. We take security seriously but no system is 100% secure — please use a strong password and keep your login credentials private.

6. Data retention

We retain your account data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or financial compliance purposes (e.g. payment records).

7. Your rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Object to or restrict how we process your data
• Export your data in a portable format

You can delete your Vestry account and all associated data at any time directly from your account — landlords via Settings › Danger Zone, and tenants from the bottom of their portal. No need to contact us — deletion is immediate and permanent.

8. Cookies

We use essential cookies to keep you logged in and remember your preferences. We do not use advertising or tracking cookies. You can disable cookies in your browser settings but this may affect how the platform works.

9. Children

Vestry is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by displaying a notice on the platform. Continued use of Vestry after changes are made constitutes acceptance of the updated policy.
